Who we are

Information used for your application
We collect the details you provide in the application form: your name, contact details, date of birth, identity or passport details, address, studies, preferred stay dates, funding arrangements and emergency contact. You may upload identity, acceptance, registration or funding documents. Please provide only relevant information and tell your emergency contact or payer before sharing their details. Do not upload medical records, bank statements or another person’s identity document unless we specifically request them through an appropriate process.
Required fields allow us to assess and respond to your application. If information or documents are pending, indicate this in the form or contact us. If you are under 18, ask a parent or legal guardian to assist and contact the team before submitting identity documents.
How we use and share information
We use application information to assess accommodation requests, check the information supplied, discuss availability and funding arrangements, contact you and manage the application process. Applying does not guarantee accommodation or subscribe you to marketing. Staff make accommodation decisions; the website does not automatically approve or reject applicants.
Access is limited to authorised staff and providers supporting our website, hosting, email and backups, as needed to perform their services. We may disclose information where required by law. We do not sell application information. Notification emails contain an application reference; uploaded documents are not attached to those emails.
How long we keep information
Unsuccessful or withdrawn applications and their uploaded documents are deleted from the application system six months after the outcome is recorded. Pending applications remain available while being processed. Successful applications are managed separately with tenancy records and kept for the applicable tenancy and record-keeping purposes. Restricted backup copies expire separately through backup rotation; they are used for recovery rather than routine processing. If recovery restores a deleted application, its deletion must be reapplied.
Website operation and external links
The website and hosting services may process technical information, such as security logs, to operate and protect the service. Necessary cookies may support form operation and administrator login. Links to WhatsApp and Google Maps open services operated by those providers; their own privacy terms apply when you use them.
Your choices and requests
You may contact us to request access to or correction of your information, withdraw an application, object to relevant processing or request deletion where applicable. We may need to verify your identity before acting on a request. Some records may need to be retained where there is a lawful reason. Contact petero@dunofusion.com or +27 76 402 9200. You can also contact South Africa’s Information Regulator about a privacy complaint.
